Bookkeeping Help – Why hire a Bookkeeper when my spouse can do my Bookkeeping for FREE!

A Bookkeeper is a Bookkeeper Right? Unfortunately this is not the case.  Anyone can say they do bookkeeping. They may read a book, take a class or two, or they may use an accounting program and therefore say they are a bookkeeper.   For bookkeeping help, Sometimes small businesses to save money will even hire a family member to do their bookkeeping for them, even though they may have little to no experience.  Accounting software programs, like QuickBooks was designed to be easy to use, just being able to use the software and using it properly are two different things.

For example, a Bookkeeper contacted me for bookkeeping help, and to work with them to clean up their QuickBooks file.  The Bookkeeper said that she was a friend of the owner and that they have been using QuickBooks for a couple of years now but have never been able to reconcile the check book.  They transferred an Accountants copy to me while on the phone, and I looked at their file.  Their file was a mess!  They had ten different bank accounts set up, where in reality they only used two.  They had debit cards set up as credit cards, and had accounts set up that they did not know what they were, and that is just what I noticed in the first few minutes!  The bookkeeper admitted that at this point, they basically just use their QuickBooks for paying bills and writing checks because they really did not know how to properly use the program, nor had she had any formal training in bookkeeping or QuickBooks.

With QuickBooks you will be able to run financial statements from any data entered, however the statements are not going to tell you much about critical information regarding your business’s performance.  You should be able to analyze the data in difference ways to tell you things like:

  • Do you have enough cash on hand or do you need to revisit customer payment terms?
  • Are you charging enough for your products or services?
  • Are their serious financial problems in the near future?
  • Can I really afford to buy that piece of equipment now or should I wait?

So in summary, the company mentioned above has not saved any money by hiring a friend to do their bookkeeping.  They have missed out on key information that they need to grow and run their business, and now they are in need of the services of a qualified bookkeeper to clean it all up, and then train their bookkeeper on how to do the bookkeeping properly.  Your financial statements should tell you a never-ending story and lead you through the maze of paths to that pot of gold!

  1. Quite informative post. Yeah you are right bookkeeping is quite easy and one can easily understand this. Knowing the basics and having some experience will help you in getting good bookkeeping job. Quickbooks is such a helpful software and trusted by many professional bookkeepers.

    1. Thank you Daniel! Yes QuickBooks is a very helpful software, however using it and using it CORRECTLY are two different things. Many people feel that bookkeeping is easy and therefore that is why they attempt it themselves, however if you do not understand the debits and the credits and how the accounts go together you can end up with a mess!

      No you do not have to have your CPA degree to have a part time bookkeeping service from home. I would suggest that you have bookkeeping experience as well as QuickBooks experience, or what ever program you are going to use with your clients. Keep in mind that the majority of small business owners use QuickBooks, however Xero is getting in to the game and many are converting. Good luck with your Bookkeeping Service! 🙂

      I am not a CPA so I am probably not the best one to answer this question. However I do know that the requirements vary from state to state and you must have had something like at least 24 hours of accounting courses as well as almost the same amount of hours in courses such as Business Law and other management type courses prior to being able to sit for the CPA exam. You also have to show your last 10 years of work history or work since you have been out of college if less than 10 years and have had work experience in the CPA field, although how many hours they require for this I am not sure. I would check with your local college on this as well as the accounting degree to see what you need to do. You may have to go back and take some accounting courses. Good Luck! 🙂
