If you’re the type of person who loves mobile apps, texting, and email on your phone or tablet, then you’re in for a treat. Technology has finally brought us mobile accounting apps and if you have not tried them out, I suggest you do! How much time do you waste just waiting? Waiting for a flight at the airport, waiting for your lunch meeting to show up, etc.? Well why not get some of your accounting done while you wait? Then you have more time that you can spend with your family and friends doing what you love to do.. Here are some great developments to try so you can stay on top of your cash flow while on the go.
For users of QuickBooks, see the Intuit App Center. There are a ton of mobile accounting apps that work with QuickBooks desktop and QuickBooks Online. The possibilities? View and edit customer information, send invoices, add photos, and even accept electronic signatures to approve estimates on the spot. My favorite mobile accounting apps that integrate with QuickBooks are Field Service Management, TSheets and Salesforce. So check ‘em out!
If you are on the Xero cloud accounting system, the Xero Touch app is quite comprehensive; it will show you a dashboard of all of your bank account balances and will allow you to perform numerous accounting functions right from your phone. On the A/R side, you can view and send invoices, check customer information, and view account balances.
What about your expenses you say? With the ability to sync with QuickBooks, the Expensify app can auto-match your receipt with your credit card transactions, just snap a picture of your receipt. In the Xero Touch app, similarly take the pic of your receipt for immediate upload. Decrease your paper handling and don’t worry about losing it. Plus it’s just cool!
These mobile accounting apps work on the iPhone, iPad, and Android. With QuickBooks, there is a small monthly charge after a free trial, and with Xero, the app is free with your Xero subscription.
If you use a major bank, chances are, “there’s an app for that.” Downloading your bank’s mobile app will allow you to stay on top of balances, receive alerts, and manage your cash flow more effectively.
Truly, I tell you today, you should be able to receive payments by credit or debit card. And now, more and more businesses are collecting customer payments via their smartphones. If you’re not already taking credit cards, try an app such as Square, PayPal, or Intuit Mobile GoPayment. It’s an effective way to get started; your customers can pay via Visa, American Express, MasterCard, and Discover.
With many of these payment apps, you download the app; receive a reader in the mail, then swipe or key in a client’s credit card information. You are charged by the transaction, or monthly, if you sign up for a merchant account. Plus, you can often customize the receipts with your own logo to make them look professional to your clients.
There are many other mobile accounting apps that can increase your accounting capabilities. Both ADP and Paychex have payroll apps for their clients. There are numerous mobile accounting apps to extend many of your accounting functions, such as expense management, document management, invoicing, time-tracking, bill payment, and even work order management.
